Connecting UserVoice with HubSpot gives you powerful insights into your ideas and accounts. Once your HubSpot fields are mapped, you can answer questions like “What are enterprise prospects requesting?” or “What are the top 10 priorities among active SMB customers?”
Before You Start
You'll need:
- UserVoice Admin access
- HubSpot API access (determined by your HubSpot plan)
- Read-only (or higher) HubSpot access to every field you configure, plus these required fields:
- Contact: hs_object_id, firstname, lastname, email, title, hs_lastmodifieddate, AccountId
- Account: Id, name, domain, hs_lastmodifieddate
Important:
- The connector becomes your single source of truth for account data. Once it's set up, other sources are disabled: CSV imports, traits passed through the widget, and the User & Account trait API endpoints.
- Already sending traits to UserVoice? Connector data will only appear in Account Insights. To see it everywhere, contact us about moving to the new data model. This replaces your existing trait data.
How users are matched to accounts: Users are assigned to accounts based on your HubSpot data. If a voter isn't found in HubSpot, we match them by email domain (e.g., @acme.com). If a domain belongs to more than one HubSpot account, those users can only be matched if they exist as HubSpot Contacts.
HubSpot Contacts appear in your Users tab. These are data records only, so no emails are sent to your end users.
Connect to HubSpot
- Go to Settings → Integrations → HubSpot Connector.
- Click Connect to HubSpot and log in to HubSpot.
- Click Choose Account to select the HubSpot portal you want to connect, then click Connect app to allow UserVoice access.
- Click Configure to start setup.
Configure the Connector
Step 1: Account Statuses
Select the HubSpot field that represents each account's status (for example, a field with values like Paying Customer, Trial, Prospect, or Inactive).
Supported field types: Standard picklist, boolean, and calculated. Custom and multi-select picklists are not supported.
Then map each UserVoice status to its HubSpot values. You can map several HubSpot values to one UserVoice status, but each value can only be used once.
| UserVoice Status | Description |
|---|---|
| Active | Paying customers using your product |
| Churned | Former customers |
| Prospect | Potential future customers |
| Closed-Lost | Prospects that didn't become customers |
Step 2: Account Segments
Map HubSpot values to three built-in segments:
- Account Type: e.g., Customer, Partner, Legacy Customer
- Market Segment: e.g., SMB, Mid-Market, Enterprise
- Plan: The plan or product the customer uses
Supported field types: Picklist, boolean, string, and calculated.
Step 3: Revenue
Select one HubSpot field for account revenue. This lets you sort accounts by revenue and see ideas by the total revenue of the accounts supporting them.
Supported field types: Currency only.
Step 4: Custom Field Mapping
Bring in additional HubSpot fields for deeper insights. Each mapped value is stored on the matching UserVoice record and can be used for filtering, reporting, and AI segmentation.
- Select the object type: Account (maps to UserVoice Accounts) or Contact (maps to UserVoice Users).
- Choose the HubSpot field to bring in.
- Save the mapping. Repeat for any additional fields.
You can map up to 25 custom fields per object type.
Step 5: Complete Setup
Review your configuration and click Complete. The first sync takes a few minutes. After that, you'll have access to Account Insights.
Manage the Connector
After setup, the connector page shows the last sync time and an option to force a sync. You can also:
- Add Field: Add more custom fields
- Reconfigure: Change your field mappings
- Reconnect: Refresh authentication with HubSpot
- Disconnect: Delete the configuration and all synced data
Troubleshooting
If you run into issues, check Settings → Integrations → Integration Logs for error details.
“HubSpot Account Sync skipped due to invalid configuration”
This appears after the sync fails for seven days in a row. It usually means the HubSpot user who authorized the connection is inactive or no longer has the right permissions. To fix it, Reconnect using an active, authorized HubSpot user and let a fresh sync run.
Frequently Asked Questions
Q: How often does data sync?
A: Right after setup, then nightly.
Q: Can I test with a Sandbox account first?
A: No, the connector doesn't support Sandbox or Developer instances.
Q: Can I choose which Accounts and Contacts sync?
A: Not yet. Add your vote and comments on this idea.
Q: How do I delete synced data?
A: Disconnect the connector in Settings → Integrations. This deletes all synced data. Individual records can't be deleted.
Q: Will this affect my HubSpot API limits?
A: It's unlikely. HubSpot's batch endpoints handle up to 100 records per request, so even large databases sync efficiently. If you have concerns, reach out to our Support team.
